How to Track Invoices in Purchase Order

DPO allows you to track invoices directly within your Purchase Orders. Depending on how much detail you need, you can choose between a Simple and an Advanced Invoice Mode and configure the invoice feature according to your company’s requirements.


Enable invoice management for users

Before a user can manage invoice information, the required permission must be enabled. Go to Settings, open the Users tab and edit the profile of the relevant user by activating the Can Manage Invoices checkbox.


Choose between Simple and Advanced Mode

DPO offers two different modes for tracking invoices. In Simple Mode, you can enter the invoice number, invoice date and corresponding order number, as well as a name, the net invoice price and additional notes.


With Advanced Mode, invoices can be tracked against the individual items within the Purchase Order. This allows DPO to identify whether all invoices have been received or whether there are still outstanding bills. To select the required mode, go to Settings, open the Invoices tab and choose the corresponding invoice setting.


Configure taxes and VAT

Purchase Orders in DPO are created using net totals, while invoices may also include taxes or VAT. You can therefore define the required tax settings under Settings > Taxes.

Open an available tax line using the pen icon and create your tax setup. You can define a name, decide whether the tax should be available within the invoice feature and make the tax selection a required field if necessary.


Define tax rates

Depending on your setup, users can either enter the tax percentage manually or select it from a predefined list. If many tax rates are available, you can also make the list searchable.


After saving the tax setup, use the arrow on the left-hand side and then the Plus button to define individual tax values. Each value can have its own name and, if required, a valid timeframe.


DPO is not limited to a single tax item. If multiple taxes apply in your country, several taxes can be selected for an invoice.


Edit or delete invoice entries

If you have permission to edit invoice information, open the relevant Purchase Order and select the corresponding invoice entry. From there, you can edit the information or delete the entire data set.


Upload invoice receipts

If you use the DPO attachment feature, invoice receipts can also be uploaded directly to the invoice entry. The uploaded file then appears as an attachment within the Purchase Order, keeping the invoice information and related documentation together in one place.


Keep invoice information connected to your Purchase Orders

DPO’s invoice tracking feature allows you to choose the level of detail that fits your workflow. Whether you use Simple Mode for basic invoice information or Advanced Mode to track invoices against Purchase Order items, the relevant data remains connected to the corresponding Purchase Order.
