How to Track Deliveries in Purchase Orders

DPO allows you to do more than create and approve Purchase Orders. You can also track the receiving of purchased items directly within each Purchase Order. This gives you a clear overview of whether an order has been fully delivered or whether individual items are still outstanding.
Enable delivery tracking for users
Before a user can record deliveries, the required permission must be enabled. Go to Settings and open the Users tab. Edit the profile of the user who should be able to track deliveries and activate the Can Add Delivery checkbox. If the user should also be able to edit received items afterwards, activate the corresponding permission as well.
Record a delivery
Once the permission has been enabled, go to the View section and open the relevant Purchase Order.
Click the small package icon on the right-hand side.
In the delivery window, you can enter:
Order or delivery number
Delivery date
Quantity of items received
This information is then connected directly to the Purchase Order.
Track partial and full deliveries
If the quantity received is lower than the quantity requested in the Purchase Order, DPO automatically recognizes the order as partially delivered. Once all remaining items have been received, the status is automatically updated to Fully Delivered. This allows you to see the current delivery status without having to track outstanding quantities separately.
Edit or delete delivery entries
If you have permission to edit deliveries, open the relevant Purchase Order and select the corresponding delivery entry. Use the eye icon to open the delivery details, then click Edit Delivery at the bottom of the page. From there, you can update the recorded delivery information or delete the delivery entry completely.
Upload delivery receipts
If you use the DPO attachment feature, you can also upload a delivery receipt directly to the delivery entry. The uploaded document will then appear as an attachment within the Purchase Order itself. This keeps the delivery information and related documents together in one place.
Keep delivery information connected to your Purchase Orders
Delivery tracking in DPO allows you to record received quantities, monitor partial and full deliveries and maintain the related documentation directly within the Purchase Order. Instead of tracking deliveries separately, the relevant information remains connected to the corresponding order.
